Employment Area Mission Statement

The Employment Area is dedicated to providing excellent customer service to all applicants, students, and University employees by promoting the recruitment, selection, and employment of highly qualified and diverse employees. Our department serves as a consultant to all University departments regarding their personnel requisitions, job searches, advertisements, interviews, pre-employment background checks and hiring. Our office also provides temporary clerical services through our Rebel Reserves. Furthermore, our office is responsible for all aspects of Student Employment .

 

Training Area Mission Statement

The Human Resources Training and Development employees are here to enhance the University of Mississippi faculty and staff. Our primary goal is to offer University employees, regardless of title or education, an opportunity for continual growth. Our Seminars Teach an Array of Resources and Skills to improve not only the individual's job performance but also the individual as a whole. The department motto is to never stop "Reaching for the STARS." We will do our best to instill this motto into every University employee.

If You Need an Extended Leave of Absence ...

In General

What

Let your department know when you are leaving

When

As soon as you have a firm ‘last day'

How

Contact your supervisor and provide an address where leave of absence paperwork can be sent.

Make sure your department processes an E-Form 3 for you.


Benefits

What

Leave of absence paperwork will be mailed to you – complete and return to HR

When

Within 15 days of receipt

How

As long as you are on paid leave premiums for your benefits will continue coming out of your paycheck. When/if you go on leave without pay (LWOP) you will receive information about continuing your insurances while on leave. You will be responsible for paying for all premiums for insurances you wish to keep. All continuation of insurance coverage paperwork and bills for continuation coverage will be sent to the address you provided. Complete and Return to HR within 15 days of receipt if you want to continue insurance coverages.

If you do not receive leave of absence paperwork within 15 days of starting your leave, contact HR at 662.915.7431 to obtain a copy.

Note: Your leave of absence paperwork will indicate if your leave is related to FMLA (Family Medical Leave Act) and/or Worker's Compensation. Additional information regarding these types of leave will be included in your paperwork. If you feel that your leave should be FMLA or WC related and your leave paperwork does not indicate this, please contact HR (662.915.7431).

If You Are Leaving the University….

In General

What

How

Make sure your department processes an E-Form 3 (eform) for you.

 

 


Benefits

What

COBRA paperwork will be mailed to the address you provided; look for this paperwork in the mail, complete and return if necessary

When

Within 60 days of your ‘last day'

How

All continuation of insurance coverage paperwork and retirement paperwork will be sent to the address you provided. Look for this paperwork and complete and Return to HR within 60 days if you want to continue insurance coverages.

If you do not receive COBRA paperwork within 30 days of termination, contact HR at 662.915.7431 to obtain a copy.


Leave Time

What

You will be paid for up to 240 hours (30 days) of unpaid personal leave. (NOTE: Faculty do not accrue personal leave; Remaining Major Medical leave is reported to PERS to be credited as Service Time; ORP does not use service time to determine benefits, therefore remaining leave is not reported)

When

Within 60 days of your ‘last day'

How

You will receive a check in the usual way you receive your paycheck, i.e., direct deposit or through the mail. Note: Termination pay is subject to regular income taxes and retirement deductions. Normally, you will receive your leave payment the pay period after you receive your final payroll check.


Retirement

PERS: Public Employees' Retirement System

What

You may a) leave your retirement contributions in the PERS system
b) roll your contributions over into a qualified IRA (retain 100%)
c) request a refund of your contributions (an average of 20% tax and

Benefits Area Mission Statement

The Benefits Area will provide courteous, quality customer service to all employees while being knowledgeable of University employee benefit programs. We will work to insure the accuracy of all employee benefit enrollment information and protect the privacy of the employee. We will, to the extent of our ability, assist all employees with the resolution of disputes between the employee and benefit vendor(s) to yield amicable results.

 

Compensation/Classification Area Mission Statement

The Compensation/Classification Area assists departments and employees by providing guidance and advice to ensure that, through the reclassification of existing positions and the establishment of new positions, jobs are classified accurately, with interdepartmental continuity, and in accordance with University, state, and federal regulations. This group focuses on establishing salaries that are equitable and adhere to the University's Variable Compensation Plan in the spirit of increasing morale, motivation, and productivity in an effort to retain high quality, experienced personnel.

Additional questions can be answered at paper completion session, and you will submit all paperwork at this session for processing.

If Your Dependent Turns 19…

Health Insurance

What

You may need/want to change your health and dental insurance coverages

Within 30 days of the dependent's birthday

If the dependent is a full time student, you can provide proof of enrollment, and the dependent can remain on your insurance until the age of 25. You should contact the Registar's Office at the College/University/School they attend for this verification. Provide a copy of this verification to HR for forwarding.

If Your Dependent Turns 25…

The dependent is no longer eligible for health or dental insurance

COBRA notice will be given if you need to continue coverage. If you do not receive COBRA notification within 30 days of the loss of coverage you should contact BCBS at 1-800-709-7881

  If Your Dependents Lose Coverage

Health Insurance

What

Loss of Coverage is a Qualifying Event and you can add them to your insurance

Complete the add application: Health Insurance Application (note: you will need to complete Sections A, B, C, & E and sign in section B)

Provide HR with a copy of the Certificate of Credible Coverage from the previous insurance (these are usually sent when coverage terminates, but you may have to call the company and request one if you do not receive it in a timely manner). This allows your dependent to be added the day after the other insurance expires.

Initial Retirement Paperwork – PERS

What

Contact HR to begin completing retirement paperwork

Six months before your retirement date

How



Contact HR at 7431 to set up an appointment for initial paperwork. You will need: a copy of your birth certificate, a copy of your intended beneficiaries' birth certificate(s)

Note: You will be given the opportunity to make decisions about continuing your benefits while you complete the retirement paperwork. However – you will only be able to continue covering dependents that are currently covered, i.e., you will not be able to add dependents when you retire. You should add dependents that need to be covered for retirement during the preceding Open Enrollment period.


Leave Time

What

You will be paid for up to 240 hours (30 days) of unpaid leave.

NOTE: Remaining leave is reported to PERS to be credited as Service Time; ORP does not use service time to determine benefits, therefore remaining leave is not reported)

When

Within 30 days of leaving the University

How

Make sure your department processes an E-form 3 – this is the signal to process your departure. You will receive a check in the usual way you receive your paycheck, i.e., direct deposit or through the mail.

Due to security issues; if you need a replacement W – 2 then you need to bring a picture ID and come to Payroll located in the Human Resources Department and they will be happy to accommodate your request.
