The Graduate School is the official repository for documents shown below. The department is responsible for retaining the official copy of a record and serve as the department responsible for the development, maintenance, retention and destruction of records. Records are retained as specified by UM, IHL, State, Federal or outside entity guidelines. Departmental records are retained at the discretion of the department but are encouraged to follow the guidelines outlined in order to reduce labor and save space.

Records

The following files/records are retained on a permanent basis:

Application Material for Admitted Students (application form, admission letters, diploma copy, previous transcripts)

Active Student Files for Matriculating Students (communications from departments, recommendations regarding academic progress and status, records related to academic honors, records related to disciplinary action)

Departmental Unofficial Copy

The following records are retained for 5 years:

GRE Scores

 

The following records are retained for 2 years:

TOEFL Scores

 

The following records are retained for 1 ½ years:

Application Material for International “No Shows” (accepted but do not enroll within one calendar year)

 

The following records are retained for 1 year:

Application Materials for Rejected Applicants, Application Materials for Domestic “No Shows” (applicants who are accepted but do not enroll within one calendar year)

 

The following records are retained for 1 year (longer if patent pending)  and then transferred to the Library:
