Minutes of the Meeting, July 7, 2004 Union 404 A & B

Call to Order: The meeting was called to order by President-Elect Joey Brent. Mr. Brent thanked all members for attending, and then introduced Bonnie Reid of Student Housing as the guest speaker.
Ms. Reid announced dates and times for Move-In 2004: Thursday, August 19 from 10:00 am until 6:00 pm; Friday, August 20 from 10:00 am until 6:00 pm; and Saturday, August 21 from 9:00 am until 1:00 pm. Ms. Reid stated that Move-In is a big event, with approximately 10,000 students and their families participating. Volunteers are needed to work off-site at the old Wal-Mart building to distribute keys and at residence halls to distribute water. Approximately 300 volunteers sign up each year. Ms. Reid provided paper registration forms to Staff Council members. These forms may be campus mailed to Bonnie Reid in Housing. Volunteers may also register online at www.housing.olemiss.edu/moveinvolunteers. T-shirts will be provided to all volunteers, and lunch will be provided to those working during lunch hours. Ms. Reid also gave special thanks to Shannon Lovejoy and Bettie Puckett for their help at Move-In in recent years.
Joey Brent added that the goal of the Staff Council is to have 100% participation during Move-In 2004.
Approval of Minutes: The June minutes were approved with no corrections.
Treasurer’s Report: Rachel Bost reported that expenditures were made in contractual services and in commodities to cover the costs of advertising the exam breakfast, building a table for the suggestion box, and for catering at the February and June meetings. A plaque was also purchased for Joni Camp, the outgoing president, and the Council was reimbursed $200 for Staff Appreciation Day door prizes. Significant expenditures were also made in the textbook scholarship account. The treasurer’s report was approved with no corrections.
Old Business:
· The Staff Council suggestion box is now located downstairs in the Student Union, just outside of the UPD satellite office. Joey Brent will email all staff to let them know about the suggestion box, and will also have an announcement printed in the next edition of
Inside Ole Miss.
· Coordinators for current Staff Council initiatives during the coming year are:
o Meet and Greet Days (August 23-24): Ron Kitchens
o Exam Breakfast in December: Paula Park
o Nominations Committee: Open
o Membership Elections Committee: Paige Davis
New Business:
· Several Staff Council members have recently resigned their positions. New members are as follows:
o Pam Barefield (replacing Tiffany Edwards)
o Judy Mills (replacing Joni Camp)
o Jeff Howell (replacing Gina Starnes)
Joey Brent welcomed Pam Barefield to the Council. Judy Mills and Jeff Howell will begin serving their terms in August.
· Volunteers are needed to coordinate several new Staff Council initiatives. Judy Fos agreed to serve as coordinator for New Employee Orientation. Positions for Publicity Coordinator and Staff Council Awareness Day Coordinator are still open. Staff Council members are also encouraged to make suggestions for additional new programs and services.
· At the request of the Chancellor’s Office, Staff Council members have volunteered to serve on the following University standing committees:

· Ron Kitchens thanked Traci Mitchell and Buddy Kahler for their help with the LOU Fourth of July festivities.
· Bettie Puckett and Traci Mitchell are among the first females to be selected as members of the Oxford Lions Club. The other new female members of the Lions Club are Jennifer Murchison, Lee Mitchell (Traci's mother) and Sharon Andrews.
Announcements:
· $25 health screenings are still available at the Student Health Center. Staff should call 915-7274 to schedule an appointment.
· Joey Brent reminded all Staff Council members of the attendance policy. If any member cannot attend a monthly meeting, he/she should notify Mary Harrington, Joey Brent, or Shannon Beeman prior to the meeting in order to obtain an excused absence. Any Council member who misses a total of three regularly scheduled meetings without first notifying the president and giving good cause for the absence or who miss a total of six regularly scheduled meetings during a year shall be in violation of the Council’s absenteeism policy. Any Council member who resigns during a term or is in violation of the absence policy will be replaced by the person who received the second highest number of votes (the alternate) in the most recent election.
