Minutes of the Meeting, May 5, 2004 Union 404 A & B

Call to Order: At 2:35 pm, President Joni Camp called the meeting to order by welcoming all members.
Approval of Minutes: The April minutes were approved with no corrections.
Treasurer’s Report: Rachel Bost reported that no funds in travel have been used since the last report. Funds were taken from contractual services to pay for postage and the suggestion box, to change the lock on the Staff Council closet, and to purchase software for the new laptop computer. Expenditures were also made for printing and mailing of Outstanding Staff Member ballots and for printing of Exam Breakfast fliers. There was no activity in the textbook scholarship account or the overhead account. The treasurer’s report was approved with no corrections.
Old Business:
· Joni Camp reported that the Staff Appreciation Day Committee met recently, and that plans for the event are progressing nicely. Additional Council members are still needed to help at the program, all day if possible.
· Invitations to award winners will be printed and mailed this week. This year’s invitations will be personalized so that award recipients will know they are being honored at the awards ceremony. The awards ceremony will begin at 9:00 am in Fulton Chapel, but volunteers should plan to arrive early. All Staff Council members will sit together at the front of the auditorium.
· Mary Harrington sent a preliminary email announcement of Staff Appreciation Day to all staff. The calendar of events and lunch tickets will be sent out by campus mail so that staff may receive them by next Monday.
· Judy Fos reported that bingo will be held in the Union Ballroom from 1:00 pm – 3:00 pm. The price for admission to bingo will be a white elephant gift. Players may also purchase $1.00 tickets to be eligible to win a cash drawing at the end of the day. A sign-up sheet was passed around for volunteers to work in 30-minute time slots. This year’s grand prize will be a color television, donated by Vend-a-Snack. Athletics, Admissions, Orientation, Coca-Cola, and the Career Center have donated additional door prizes. Belk Ford-Mercury-Toyota is donating a free oil change.
· Kim Chrestman, chair of the blood drive, reminded members that the blood drive will be held on May 12 from 12:00 pm to 5:00 pm, and on May 13 from 10:00 am – 6:00 pm in the Union Ballroom. The representative from Mississippi Blood Services asked that donors sign up in advance so they will know approximately how much equipment to bring. Ms. Chrestman passed out a donor scheduling form and a sign up sheet for volunteers. Two volunteers per hour are needed to greet donors and to pass out refreshments. Three blood donors will be scheduled every fifteen minutes. Table tents advertising the event have been placed in the School of Business and the School of Accountancy, and additional posters and table tents were given to members to place in other buildings. Domino’s Pizza will be donating five to six pizzas, and Joni Camp is working to obtain additional door prizes.

Joni Camp thanked Rachel Bost for preparing and
printing the ballots for Staff Council elections.

Candidates for president-elect were Joey Brent and Judy
Fos. Candidates for secretary and
treasurer were Shannon Beeman and Rachel Bost, respectively. Members were also given the option of
writing in a candidate for each position on their ballots.

Ballots were collected and counted by Joni Camp, Mary Harrington,
and Melissa Hudson. Joey Brent was
selected as president-elect, Shannon Beeman as secretary, and Rachel Bost as
treasurer. Melissa Hudson will retain
her position as textbook scholarship coordinator.
New Business:
·
Joni Camp welcomed new Council member Paige Davis. Ms. Davis, who works in Independent Studies,
will be assuming Joann Carothers’s position as a representative for EEO 7.
·
Joni Camp read aloud a memo from Patti Welch of
Property Control. The Staff Council
inventory audit has been successfully completed. The memo recognized Rachel Bost for her contributions to the
audit process.

Joni Camp received a letter from Virginia Kittrell,
Staff Council President at the University of Southern Mississippi, containing
questions regarding Ole Miss’s policy on tuition waivers for staff
dependents. Ms. Camp will consult with
Human Resources on the current policy before replying to Ms. Kittrell’s letter.

The Staff Council received a letter from David Potter,
IHL Commissioner, thanking the Council for its concern regarding healthcare
costs. Mr. Potter urged all staff to
stay in contact with their state legislators, who are working to mitigate the
problem.
·
New Staff Council t-shirts were presented to each
member.
Committee Reports:
·
The exam breakfast was a huge success. Approximately 400 students were served. Joni Camp thanked all staff who volunteered,
including Chancellor Khayat, and expressed appreciation to Cobra Security for
handing out fliers the day of the breakfast.
