Campus Management Status Report ~ 02-22-2002

Overview

The phase 2 implementation plan has been drafted and submitted to CM development for review.
Garner's subcommittee is refining the Turner proposal. It will go into effect for the summer and fall terms. Fant is working with Publications on the text changes for the course schedule booklet. Ridgeway is working with Student Life departments on related issues. IT staff (Hankins, Norman, Card, Tuttle) assigned to CM will roll off of CM for the month of March to make the necessary legacy changes. Once more of the details have been finalized, we will begin notifying the campus of the changes.
The following recommendations have been initiated:
- Addresses in Student File (Charlotte Fant*, Jill Stribling, Jack Garner, Larry Ridgeway) We currently maintain too many addresses. There are formatting peculiarities. Can we simplify?
- Maintenance of the Academic Structure (Morris Stocks*, Benita Whitehorn, Denise Knighton, Rick Thurlow, Michael Dean) What is the process for maintaining the academic structure over the long- term? What adjustments need to be made to the course approval form? How will the paper catalog be generated? What offices maintain what parts of the academic structure? How is quality assurance built into the process?
- Student Number/BP number (Larry Sparks*, Larry Ridgeway, Rick Thurlow, Marlies Burkhard, Kathy Gates) Clearly, we need to move away from using SSN's as primary keys for student information. What will be the format of the new student number? How will it be generated? How does it relate to the Business Partner number, i.e., can the same number be used? How will campus departments transition from using SSN as a key to using the new student number? Do they have any special requirements? Can the CM-generated student number tie in with ID cards? What is the plan for migration from legacy to CM, i.e., how will student numbers be assigned to existing students?
- Account Life Cycle (Robin Miller*, Kathy Gates, Jason Ferguson, Maurice Eftink, Richard Harden) Currently, student e-mail accounts are assigned first as part of Orientation, and then BB and LDAP accounts are derived from the e-mail account. There are obvious challenges in keeping SIS up-to-datee with accurate account information. What should the new student account life-cycle process be from account creation to account retirement? How do student R/3 accounts fit in? What are the implications for access to web applications such as EBPP/Biller Direct? How/when should account information be communicated to students?
- Student Depository (Jack Garner*, Larry Sparks) What are the long-term plans for student depository service? Can it be discontinued? If yes, when? How will users of this service be notified?
An approval process which supports the the collection of feedback from the campus has been proposed and will be used with these recommendations.

Student Administration

Accomplishments/Activities

Applicants who do not enroll will be required to pay the application fee each time they apply. Mississippi residents will be required to pay a $25 fee and non-residents of Mississippi will be required to remit $40.
An applicant will be given three attempts to enter credit card information. If the applicant is unsuccessful after three attempts, he will be directed to print the application, discontinue the process, or apply at some later time.
An application will not be stored unless the fee was submitted. Those applicants who were unsuccessful in remittance of the fee will be directed to print the application and mail the form with a check or money order.

After the discussion on credit card payment, Jason Ferguson demonstrated the web application for undergraduate admissions. Some minor revisions were suggested.

Jill has begun to outline the admissions process flow for the admissions clerks. Jill and Charlotte will meet on Friday, January 22 to discuss the process flow.

Joe is working on programming necessary to extract the admissions application data from CM to the legacy system.

Technology Infrastructure

The operating system upgrades to UMQAS and UMPRD have been completed.

The TouchNet Payment Gateway has been configured at the operating system level and the communications enabled. TouchNet is working on the application install.

Work continues on defining authorizations, and adjusting the environments as applicable.
