Campus Management Status Report ~ 10-13-2002

Overview

The data migration team led by Brenda Wimberly and Tim McCready is making good progress. McCready set up Oracle tables to serve as the staging area for the first of the student data to be migrated. Ross Hankins has a simplified student extract working.
The Event Planning proposal and model were presented in the 10/8 meeting of the CM Team Leads and accepted as a good place to start. Of interest to the UM community is the naming scheme for sections.
We are accepting feedback through 10/21 on the grading proposal developed by Eftink and others. One issue raised this week by both UM faculty and the CM development team in Walldorf is integrating CM with the course management system (right now, Bb). An example area for integration is the grading interface for faculty. Another is enrolling/de-enrolling students.
Bodo von Glahn and Diego Rincon will be here this week. Bodo is helpoing UM with admissions, including missing document management and correspondence tracking. Diego is helping with data migration, event planning, appraisals (grading) and customer infotypes. We look forward to a productive week with both of these CM experts!

Academic Structure

Only a very few (~3) degree program forms have not been turned in. The response of departments/programs returning these completed forms in a timely fashion was much better than expected. Rick and Jim are starting to enter this information into the CM database.

Onice has started to enter approved Undergraduate/Graduate Council minutes from Fall 2001 that were missed in the earlier data entry/2002 University Catalog due to the normal delays in the meetings minute approval process; thanks to Onice for this volunteer effort. Denise is still working to enter/verify Council minutes entered since Dec 2001 to date.

Veena has delivered a semi-final version of the course eforms set to various people for final review. Based on early comments, it appears that several changes still need to be made before going live with the eforms pages.

Rick, Charlotte, and Jim have met to discuss course footnotes and registration rules. The course footnotes have been resolved and Charlotte is working on a report for the registration rules.

Student Administration

Charlotte and others are making adjustments to the addresses proposal resulting from issues raised by the web team on the web-based address updates.
Charlotte and Larry Ridgeway are developing a proposal on how to communicate student number to students who are migrated over from the legacy system. They would like for the student to have a way to look this up through a web interface after authenticating. Students would be sent an e- mail message telling about this feature. This seems do-able on the web side. We will need to have special arrangements for students who have been admitted but who have not yet enrolled in classes. These students won't have an LDAP account to use to authenticate and may need a paper mailing. We will need to revisit the issue of the ID card, specifically, when to re-issue new ID cards.
The recruiting sub-team had its first meeting and was successful in identifying the required data.

Student Accounting

Fees
We configrued fee posting based on current information. Postings have correct FM information but are missing Business Area. Marlies has notified Walldorf.
Interfaces
We set up a very small Grant Master proto-type to allow testing financial aid interfaces. After receiving a fix from Walldorf, we can now post actuals and statistical documents. Resolved with Walldorf how to display the statistical information on the document. Also discovered a functional issue, i.e. missing CO objects and Business Area. This has been brought to the attention of Walldorf.
Invoicing
Working on invoicing and dunning. We found a problem with incomplete configuration of the contract account creation. Walldorf provided a temporary solution which was built into an existing BADI. So far tests to bill have been unsuccessful as well as our attempts to create the related correspondence.
FSCM Biller Direct
Marlies has been working on he R/3 side of implementing FSCM Biller Direct. Work is ongoing.
Conversion
We have begun working on an extract program for the conversion of the outstanding items on A/R.

Biller Direct has been installed successfully.
More work is being done on the e-forms for maintnance of the academic structure based on feedback.
Conducted a brief training session for technical staff on ISR in preparation of Bodo's visit.
Preparing the graduate international admission application to use during Bodo's visit.
Made some minor adjustments to the course schedule on the web based on the new event planning models that are being prototyped.
Changed the financial aid look up on the web to use the PubCookie authentication scheme.
Met to discuss student address updates on the web, and devlopment is being done.
Work is still being done to "pretty up" the web registration demo pages.

We continue to work to establish a CM related Earlywatch session for SAP production before the first student data loads to more effectively identify performance trends. This effort continued for over a month last FY before the support personnel in Ireland decided to step out of the picture and turn the project over to Waldorf.
