Campus Management Status Report ~ 11-12-2002

The
November 2002 CM Newsletter should reach
campus mailboxes by late next week. This and the January issue will
focus on admissions. Thanks to M.K. Smith for her work in this area.
We have received positive feedback on the first issue.
- Lee Nelson arrived today to provide additional support
in the area of Student Accounting.
- Diego Rincon will be here next week to help with several areas,
including
migration of appraisal (grading) data, BDT customer extensions,
and progression.
- Program information has been distributed
to Dean's Offices, and course information will follow
at the end of the week or the early part of next week.
Dr. Vaughan is coordinating this effort.

- We are continuing to work on the detailed authorizations
spreadsheet. In this activity, we are trying to map
current and new user roles to specific CM transactions and data.
Campus users are continuing to provide valuable input.
- Buster Hale, Robin Miller and Tim McCready are attending
SAP TechEd this week and have on their lists to collect
the latest onformation on workflow and the SAP R/3 Enterprise
upgrade -- a step that will be necessary before we can upgrade
to CM 4.71.
- We participated in a conference call with the
CM development team on the
degree audit design that will make its debut in CM 4.71
(available in April 2003). We were pleased with the progress
that is being made in this area and have forwarded to them our feedback.
- The technical team is continuing to push forward
on all fronts, with added emphasis being given to data migration.
McCready, Hankins, Ward, Wimberly, and Card are making good progress.
Areas dealt with this far include STMD1, STMD2A, RP1,
STMD6, STMD4, and financial transactions.
- We participated in a conference call with Joachim Plumbaum
and Karin Busch on Monday of this week to discuss functionality
that has been downgraded to CM 4.64, features in CM 4.71 and 4.72,
remaining open issues related to UM's Spring 2003 go live date and steps to
help ensure a successful go live experience. One of the
actions that we agreed upon is to conduct a formal
integration test after the first of the year to test
a set (6-8) sample "life cycle" processes. More details on this
will follow. The aim for both UM and CM development
is to identify and resolve any remaining gaps/implementation
weaknesses well in advance of the go live date,
and the integration test should facilitate this.
- It is worthwhile to note
that we have passed a 1 year anniversary. The project
kick-off was 10/25/2001, and we now have a full year
of status reports representing collective efforts
by many segments of the campus community, as well
as the CM development team, toward
a successful implementation of CM.

Academic Structure

Programs of study for all degrees have been entered into CM, printed, and will be distributed to Dean's Offices on Monday, Nov 11. Onice has corrected the various co-requisite listings in CM based on 1 way and 2 way listings. Onice, Denise, and Jamie have finished entering course changes from Council minutes, and are now working on entering courses that appear to have been skipped earlier. Over 400 courses from the legacy system are not in CM, but it is believed that many of these are not valid courses..

It is hoped that course listings can be printed within the week and distributed to deans and department chairs for final review. Reviews of programs of study and courses are due back by Dec. 9.
Student Administration

- Brenda , Tim, Ross, and Lena are working on data migration.
- Linda, Donna, and Maria are working on customer solutions for missing attributes.
- Jill is beginning work on the automation of the admissions process and the design of the web applications.
- The team is working on the definition of roles within CM with regard to authorizations.
- Charlotte and Denise finalized the spreadsheet on student achievements. The spreadsheet identifies whether the achievement should be recorded on the transcript, diploma, commencement program, and in the student system.

Student Accounting

Student Accounting Team Status Report as of November 8, 2002
- Fees
Work is ongoing in this area.
- Interfaces
Work is on going in this area. A meeting is scheduled for next week with Accounting and Financial Aid personnel to demonstrate postings to student and sponsor accounts as well as the associated postings in FI-CO.
- Invoicing
Work is ongoing in this area. Maria has pringed a dunning letter with the various fields available for output.
- Cash Desk/Cash Journal
A comparison of the functionality of our current cash receipting system (CORE) to SAP's Cash Journal was completed. A spreadsheet was prepared and distributed to team members. From the analysis it appears that a great deal of functionality will be sacrificed if Cash Journal replaces CORE. Lee Nelson, who is an SAP consultant, will be working next week on Cash Journal configuration.
A test case scenario of common cash receipting transactions was prepared in anticipation of testing SAP's Cash Journal. To implement Cash Journal, it is imperative that the system be able to process the test case transactions successfully.

Meeting held to continue discussions related to selection methods and selection items from both student and course aspects of campus management.

Web / Interfaces

Development is continuing on the Course Schedule and Web Registration. Detailed evaluation of grading RFC's is being done. Work is being done on the web form for Orientation. More work was done implementing ideas for Admissions from Bodo's visit. The 2003 Academic Programs has been activated now. The clearing run for application fees paid by credit card is being tested and should be moved to production by the end of the week.
