Campus Management Status Report ~ 11-26-2002

Overview

Academic units are making good progress on the review of the academic structure. Several good suggestions have been made, which we will forward on to CM development for consideration in future releases of CM.
We have developed an integration test plan that will be used to validate key life cycle processes prior to going live. The integration test period will occur from January 21st - February 21st (2003). We are now working on the details of this plan. Starting the week of December 2nd, we will have bi-weekly conference calls with CM development to closely track issues related to UM's go live date.
We participated in a conference call with Joachim Plumbaum and Bodo von Glahn on 11/19 to discuss the grading RFCs that will be used to implement the web-based grading interfaces (instructors submitting grades and students viewing grades). We are considering using the "appraised by" relationship (SM to P) as a way to handle situations in which someone other than the instructor needs to submit grades. This option is attractive, because it is reasonably secure and it fits in with the existing model.
Functional users will meet next week to finalize the authorizations spreadsheet.
Lee Nelson worked with the CM implementation team on Student Accounting issues for two weeks in November. He will continue his work in December.
Diego Rincon was here the week of November 18. He helped with solutions for customer data, grading, progression and various other student administration issues.
An ABAP specialist will be here the week of December 2nd to provide assistance in several technical areas including data migration.

Several questions have been raised since the data sheets were delivered and these are being answered as they come in. The level of questions indicated that the deans/chairs appear to be taking this review process seriously. A limited number of people will take the returned review sheets and enter the corrections into CM.

Veena has also finished the eforms for course adds/changes/deletes. The process is under final review.

Student Administration

Work is continuing on the assignment of main and sub transactions to non-fee related chagres to student and external business partners. These charges include Telecommunications, Physical Plant, Housing, University Policy Department, etc. We are now in the process of obtaining comfirmation from these departments of the correct descriptions to use as well as the general ledger/cost center/profit center/internal order.
Interfaces
We met with Larry Sparks, Ricky Douglas, and Robert Givens to discuss the postings from Sigma to FI-CA. General agreement was reached on the approach to use as well as the number of reconcilaition accounts we need.
Invoicing/Billing Statement
Lee Nelson was briefed on the desired format the University wants to use. He requested information concerning the format, and next week, he will begin to spec out the requriements to produce the statement.
Cash Desk/Cash Journal
Lee Nelson met with the staff in the Bursar's Office to review the current cash receipting software (CORE). Lee was afforded the opportunity to witness how transactions are posted in CORE and the various reports that CORE produces, both daily and on an ad hoc basis.
Marlies made progress with the invoicing process that CM uses, and she made progress with the calcualtion of the service fee.
