Campus Management Status Report ~ 11-28-2001
Overview
Each team is making good progress toward meeting its objectives.
The Student Accounting Team has spent most of this week in
meetings with Karin Busch and Klemens Gramlich of SAP,
Randy Timmons and Bob Beavers of Sigma, the UM Sigma Team,
representatives from CMU and others. Marlies
Burkhard worked with the UM teams last week
to document processes and bring to light issues
that needed to be addressed. Burkhard is coordinating
this week's activities as well.
The purpose of these
meetings has been to better understand the processes that
involve both financial aid and student accounting and to determine if
additional interface functionality is required to implement these
processes. A number of issues have been raised such as
time frequency/sequence of disbursement and fee calculation,
the need for real-time
access to information, incorporating various account checks, and
the integration of FI-CA (Student Accounting) with
FM.
A recurring
theme is the need to balance service to students with sound
accounting practices and system integrity. An action item resulting from these
discussions is for the Student Accounting Team and the UM Sigma Team
to develop proposal(s) describing design alternatives
(advantages, disadvantages, costs, ...)
for processes that
have broad impact in terms of institutional policy
and to submit these to the Steering Committee for further consideration
so that administrators with responsibility in these areas can be more informed
and can participate in the decisions.
Garner's "A Conceptual Approach to Changing the Tuition/Fee Payment
Process" proposal (currently in development) is a good example
of the kind of documents that are needed.
Academic Structure

1. Met with Academic Structure Core Committee and several resource members on 11/05/01.

1. Asked representative for each academic unit to provide a summary of how University Core Curriculum requirement is satisfied for each degree program.

1. All academic units have submitted Core Curriculum summaries.
2. Dr. Stocks is in the process of identifying commonalities and differences.

Student Administration
- Accomplishments/Activities
Members of the Student Administration team have met on several occasions to determine the direction for the entire team. Some highlights of subgroup meetings are listed below.
1. On November 8, Jill, Rick, and Charlotte met to discuss planning, gap analysis, and effective dates related to Campus Management.
2. On November 14, Jill and Charlotte reviewed ISR.
3. Currently, Jason is working on the process that will allow applicants to apply on the WEB using ISR and to pay the application fee by credit card.
4. Currently, Joe is mapping current undergraduate admissions requirements and will organize the results in spreadsheet format. Joe has identified missing data attributes that will have to be added by Jason. Also, Joe has identified which CM tables can be used as defined in CM, which ones must be translated within the ISR structure to SIS values, and which values must be hard-coded within ISR data structures. Pharmacy and international admissions processes will also be mapped.
5. Frank is reviewing Project Discover documentation in an attempt to outline the undergraduate admissions process from application to enrollment. Also, Charlotte will review those same processes.

Jill and Charlotte will meet on Thursday, November 29 to review some specific aspects of the Campus Management system. The full Student Administration team will meet during the week of December 4 to discuss the charge and goals.
Student Accounting
- The Student Accounting Team has been involved in dawn
to dusk meetings all of this week with onsite visitors from SAP and Sigma
and was involved in preparing for these meetings last week.
Outcomes will be noted in future reports.
CM Reporting
- Accomplishments/Activities
Reporting Team has met twice. First meeting was
preliminary planning meeting. Second meeting
included entire team. Team decided to request
additional clarity as to scope in identification
process. November 26 meeting of Team Leads
helped to clarify initial role for Reporting Team.

Brenda Wimberly is working with Frank Tuttle
to gather history of production runs for last
2 years. Next meeting of team will be scheduled
once Brenda gets better handle on run histories.

Web / Interfaces
- Accomplishments/Activities
Kathy installed the XSLT transformation engine Xalan on Cedar for testing. This looks like a better alternative to Cocoon since it can be called from within a program. Dan and Jason found a way to define our own evaluation paths for use with the SAP BAPI for retrieving the academic structure which gives us a little
more flexibility. Veena is still awaiting word from Sigma for when their daemon for
accepting requests from the mainframe will be installed on the UM financial aid system. Eric is working on installing Tomcat on Sparky2. Jason and Veena mapped out the technical possiblities for handling authentication for Sigma-to-web applications. Jason turned over the available structures for use in ISR admission scenarios to Jill for data mapping with the lagacy system. Veena is also awaiting verification of changes from Sigma to the XML schema used for displaying the financial aid award letter on the web.
