PROSAM PROJECT STATUS REPORT MARCH 28, 2002 Accomplishments/Activities ? We are operating in production with the ProSAM software for the 2003 aid year! ? All admitted students in SIS have been loaded into the ProSAM system. Analysis was done to identify those fields which should not be updated by subsequent runs. Testing of subsequent admission loads in QA identified several problems, particularly in the area of projecting student classifications. As a part of the admissions load, students were assigned to a ProSAM "track," which controls required documents. ? ISIRs for the 2003 aid year have been loaded into production and memos were produced by the system. The Financial Aid staff is becoming more familiar with the system as they continue to check out results of further testing. ? Budgets were assigned in QA. ? The decision was made to complete the entire awarding scenario using a small pilot group of awards: academic excellence awards. The business rules have been written for this packaging run and awarding took place in ProSAM last week. A number of logic and data errors were uncovered and most of them have been corrected. Testing can continue when the projection logic is corrected. ? Several errors regarding the ISIR preprocessor were reported and corrected. ? Scripts have been written to test subsequent ISIR loads and will be tested in QA this week. ? Preliminary work has begun on the diagnostics system. Sample messages were loaded into the master message table, scripts have been written to activate these messages, and business rules have been developed to select the appropriate messages. ? A methodology was developed which will identify overaward situations. Unfortunately, this functionality is not currently part of the software and will require programming by our staff. ? A number of client and server software upgrades were installed. Project Plan Status Work continues on fine-tuning the admissions and ISIR load programs. The next significant milestone is the April 30 deadline for awarding. Tasks Behind Schedule We were scheduled to be further along on the diagnostics portion of the project. However, we hope to make some significant progress in that area this week while there is a Sigma representative here. It is imperative that we run subsequent admissions and ISIR loads this week. Outstanding Issues ? There is a tremendous amount of work to do in order to award in ProSAM by April 30, which will require dedication from both the Financial Aid and IT staff team members. ? Two IT staff members have left the project, one who retired and another who will be returning after work on the Turner Center project is completed. It has been very difficult for the current staff to absorb those responsibilities. ? A final decision has not been made on how to produce the award letter. A pilot version will be developed in ProSAM for approval. ? We are using a unique means for identifying graduate and undergraduate students. It is not known what affect this may have on future processing. While Sigma has agreed to incorporate the capabilities of the integration shell into the XML interface, they have not yet communicated how this is to be done. ? There are performance issues with the interface that must be resolved. ? How nightly production jobs will be covered has not yet been addressed. Major Activities Planned for the Next Two Weeks ? Identify all the rules for undergraduate and graduate awarding. Code them into business rules, write scripts, and test them in QA. ?
